Follow-up campaigns

Point an agent at a list of numbers instead of waiting for them to call you. The create form field by field, how your CSV is read, and the difference between launching now and scheduling.

Everything else on the platform waits for someone to make contact. A campaign is the other direction: your agent working through a list of people.

Follow-up Campaign in the sidebar opens a page titled Campaigns, described as creating and managing your follow-up campaigns.

Reading the page

Three counts sit across the top: Total, Active and Scheduled. The distinction between the last two matters, because a scheduled campaign is committed but not yet dialling, and that is the window in which changing your mind is free.

Underneath, a search box and filters for Status and Type, then the table: campaign name, type, start date, end date, status, date created, and Edit and Delete actions on each row. Refresh and Export sit at the top right next to Add New.

Have these ready first

The create form asks for all of these at once, so gathering them first turns a frustrating five minutes into one.

  • An agent that has been tested on real calls, not only in the browser. A campaign multiplies whatever the agent currently does, including its mistakes.
  • An outbound number. Inbound trunks receive calls; placing them needs outbound.
  • A CSV of numbers, cleaned, with nothing in it you should not be ringing.

Careful

Call yourself from the agent before pointing it at a list. An awkward greeting is a small problem on one call and a large one across four hundred.

Creating a campaign, step by step

Add New opens a short menu holding one entry, Phone Campaign. Choosing it opens Create Phone Campaign.

  • Campaign Name. What you will recognise in the table later.
  • Outbound Number (SIP Trunk). The number the calls come from.
  • Agent Configuration. Which agent runs the calls.
  • Upload CSV File with Phone Numbers. Only .csv is accepted, and Download Sample underneath gives you the exact shape.
  • Description. Free text, for whoever finds this campaign in three months.
  • Either press Launch Now, or tick Schedule Campaign for later first.

Launch now or schedule

This is the one decision the form makes irreversible, so it is worth understanding before you click.

Leave Schedule Campaign for later unticked and the button reads Launch Now. Pressing it starts the campaign. Tick the box and a Schedule Time appears underneath, a date box and a time box, and the button changes to Schedule Campaign.

Tip

Scheduling is worth using even when you want it to run today. It gives you a gap to reopen the campaign and check the number count and the agent before anything dials.

How your CSV is read

The sample file is two columns, headed Name and Phone Number, with one contact per row. That is the shape to copy.

The reader is more forgiving than that, which is useful when your list came out of another system. It matches columns by their headings rather than their position.

Two behaviours follow from that and both are worth knowing. A row with no phone value is skipped silently rather than reported, and a contact with no name becomes Contact.

Once the file is attached, the dialog shows its name and how many numbers it read, in brackets. That count is your check. If your file has 400 rows and the dialog says 12, the phone column heading is not being recognised, and launching would call twelve people and quietly drop the rest.

Careful

Always read the number in brackets before launching. It is the only place the platform tells you how much of your list it actually understood.

Start dates, end dates and stopping

The table has Start Date and End Date columns, but the create form does not ask for either. What you control at creation is whether it starts now or at a scheduled time.

So there is no set-and-forget end date to rely on. Stopping a campaign is something you do from this page afterwards, which means a campaign you launch is a campaign someone has to remember to watch.

After it is running

Each row carries Edit and Delete. Opening one shows its details, including the campaign itself, the description, the timestamps and the list of phone numbers it is working through.

Export at the top takes the campaign list away as a file, which is the quickest way to hand someone a summary of what has been run without giving them dashboard access.

Common questions

Do I need an outbound phone number for a campaign?
Yes. Inbound trunks receive calls. Placing them needs an outbound number, and the create form asks for one as Outbound Number (SIP Trunk).
What format does the CSV need?
Two columns headed Name and Phone Number is the shape the sample uses. In practice it finds the phone column from any heading containing phone or number, so most exports work as they are.
Some of my numbers were not imported.
Check the count shown in brackets after you attach the file. Rows with an empty phone value are skipped without warning, and if the heading is not recognised as a phone column the whole file reads as empty.
Can I add email addresses to the CSV?
Yes. A heading containing email is picked up alongside the name and number.
What is the difference between Launch Now and Schedule Campaign?
Launch Now starts dialling. Ticking Schedule Campaign for later reveals a date and time, and the button changes so the campaign waits until then.
Can I set an end date when I create a campaign?
No. The form offers a start time through scheduling and nothing else. Stopping a running campaign is done from the campaigns page afterwards.
What campaign types are there?
